1. Information We Collect
Information you provide directly
- Account information: Your name, email address, and business name when you sign up.
- Business profile data: Your Google Business Profile location(s), business type, and tone preferences you configure in ReviewMatic.
- Customer contact lists: Names and email addresses or phone numbers you upload to send review request campaigns to your customers.
- Payment information: Billing details processed securely via Stripe. We do not store your full credit card number.
Information collected automatically
- Usage data: Pages visited, features used, and actions taken within the ReviewMatic dashboard.
- Device and log data: IP address, browser type, operating system, and timestamps.
- Google review data: Review text and metadata fetched from your connected Google Business Profile(s) via the Google My Business API.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the ReviewMatic service
- Generate AI-powered replies to your Google reviews on your behalf
- Send review request emails and SMS messages to your customers on your behalf
- Send you transactional communications (receipts, alerts, product updates)
- Detect and prevent fraud and abuse
- Comply with legal obligations
We do not sell your data or your customers' data to third parties.
3. Your Customers' Data
When you upload customer contact information to ReviewMatic for review request campaigns, you represent that you have the right to use those contacts for this purpose and that your use complies with applicable laws, including the CAN-SPAM Act and TCPA. You are the data controller for your customers' data; ReviewMatic processes it only on your behalf as a data processor.
We retain customer contact data only as long as necessary to deliver the campaigns you configure. You may delete any contact list from your dashboard at any time.
4. Third-Party Services
ReviewMatic integrates with or uses the following third-party services:
- Google (Google My Business API): To read reviews and post replies on your connected Business Profile.
- Stripe: To process subscription payments. Subject to Stripe's Privacy Policy.
- OpenAI / AI providers: To generate review reply suggestions. Review text is sent to the AI provider to generate a response; it is not used to train AI models under our agreements.
- Twilio / email providers: To deliver review request SMS and email campaigns on your behalf.
5. Data Retention
We retain your account data for as long as your subscription is active and for a reasonable period afterward to comply with legal obligations or resolve disputes. You may request deletion of your data at any time by emailing us.
6. Security
We use industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but take commercially reasonable steps to protect your data.
7. Your Rights
Depending on where you are located, you may have the right to:
- Access and receive a copy of your personal data
- Correct inaccurate data
- Request deletion of your data
- Opt out of certain uses of your data
